A salaried teacher is guaranteed a certain number of hours work each week. Sometimes, a salaried teacher may be allowed to take additional students, with the extra work being paid on a sessional basis.
If the additional students are considered entirely separate and additional to the teacher’s salaried work, then those enrolments must have their ‘Pay Category’ Field set to ‘Sessional’. Those enrolment’s attendance records will then be imported into the Salaries Module and paid accordingly.
However, usually, the salaried teacher is only paid for the time they worked over and above their salaried hours. In this can, the teacher’s pay must be manually adjusted each time the attendance records are imported.
To do so:
Check the ‘Staff Load Per Student’ field is correct for each record in the Tuition Fees Table.
Set the ‘Employment Type’ field of the teacher and the ‘Pay Category’ of all the teacher’s enrolments to ‘Sessional’.
Each week, after rolls are finalised, use ‘Search For and View Records’ or ‘Preview/Edit Attendance Records’ to find the records for the teacher for that week.
Click the ‘Teacher Hours’ button at the bottom of the screen. The report will summarise the teacher’s hours worked for the week according to the attendance rolls.
Use the ‘Omit’ buttons next to each record to drop students from the list until the ‘Total Hours’ drops to the teacher’s salaried hours.
Change the ‘Pay Category’ on all the remaining students to ‘Salaried’.
Add an adjustment to the teacher’s record in the Salaries file for their salaried work (e.g. ‘guaranteed work – 28 hrs’).
When you run the ‘Import Attendance Records’ script in Salaries, the additional students will be imported into the Salaries file.
