Navigating to tuition enrolments
The Tuition File hosts tuition enrolment records. You can navigate to the Tuition File by selecting Student Activity > Tuition. However, tuition enrolments are most easily added, deleted and edited in the Tuition Tab in the Students File.
Adding a tuition enrolment record
A new tuition enrolment record can be added using New Record (the green plus icon). For more information see Add Tuition Enrolment Procedure Checklist.
Editing a tuition enrolment record
A tuition enrolment record can be edited from either the Tuition Tab in the Students File or the Tuition File. Select the tuition enrolment record to open it in the Tuition Form View then make any required edits. Subject should not be edited once an enrolment has commenced, but Teacher and Lesson Type may be.
Archiving or deleting a tuition enrolment record
Archiving a tuition enrolment record holds the record for data purposes.
Tuition enrolment records can be archived by entering a date in Date Terminated. If the date is a past date, the tuition enrolment record will immediately change status from 'Current' to 'Archived' and gain a yellow highlight. If the date is a future date, the tuition enrolment record will change status automatically when that date passes. Deleting a tuition enrolment record removes the data permanently. This should only be done if the record is inaccurate and no such enrolment existed.
Tuition enrolment records can be deleted using Delete Record (the bin icon).
Re-enrolment
An archived tuition enrolment record can be re-activated using Re-Enrol in the Tuition Tab in the Students File. This will clear the date in Date Terminated and reset Lesson Fee, Number of Lessons and Number of Lessons RP to current defaults.
Bulk processes
Three scripts for conducting bulk processes can be found in the Tuition File under More.
Change Teacher for Found Set will permanently change the teacher for the found set of tuition enrolment records.
Send Found Set to Loans & Hire will create a new loans & hire record for each student.
Email Re-Enrolment Forms will draft an email to each student with a re-enrolment form attached.
Adding notes
Notes can be added to a tuition enrolment record when viewing it in Tuition Form View. This view can be accessed by selecting the record in Tuition or the Tuition Tab in Students.
