The Students file is the hub of most of what happens in Music Monitor. But most of the work is in managing the activities the students take part in.
This article deals with managing the records of the actual students themselves.
Navigate the Students File
The Students record of an active student may look something like this.
All the students' activities are visible in the tabs along the top of the main section.

Other notable items here:
- Edit student details in the Personal & Family Details button.
- Conservatoriums only will also have the Debtor button.
- You can quickly view email and phone contact information with Mobile Phone icon.
- All the students in your current found set are in the left bar. You can tag individual students from there, and recall your tagged list to use for various purposes.
- The More... menu in the top bar has several helpful functions available.
- A major one is Send Found Set To..., which is a shortcut to create enrolments or other activities for multiple students at once.
- The icon in the top bar that is like a conductor will take you to the Staff records for all the teachers that teach the students in your current found set.
Create a Student Record
Schools
If you're a school, and have a main student database that holds all your student records, you will almost certainly be importing these records into Music Monitor, and not creating the records directly yourself.
If you need to create a record for a student who does not appear in your main database, see New Student.
Conservatoriums
If you're a conservatorium or other institution where Music Monitor is your main student database, you'll be creating student records directly in Music Monitor. See Add Student and Link to Debtor (Conservatoriums).
Delete a Student Record
Schools
If your student records are imported, you don't generally need to worry about deleting them - they will be deleted from your Music Monitor when they are no longer current in your main database.
The only records you need to delete are those that are marked as External from your main database. Simply set the External Student field to "No" and they will be deleted as part of your normal import process. Alternatively, open the student record, select the red Personal and Family Details button, and select the Trash icon to delete this record.
Conservatoriums
If you're creating your own student records, they will remain unless you delete them.
Note that the enrolment records, attendance records, billing records and any other records of student activities are stored in a different file from the actual student records. So you can delete a student record and still retain all the history of their activity. They are simply removed from the list of people you're looking through when you want to enrol someone in an activity.
We recommend that you review your Students file periodically and delete the records of anyone who has had no activity for a period of years.
