Attendance Roll 1         

The Attendance Roll 1 button will produce Term Attendance Rolls for your instrumental teachers.  Each roll will have the teacher's name and subject at the top, as well as 'Week Commencing' dates for each week of the term.   Listed underneath the teacher's name will be the following information about each student currently enrolled with them:

  • Student Last Name
  • Preferred Name
  • Form
  • Phone Number
  • Lesson Type
  • School Instrument Number (if hiring)
Attendance Roll 2

Attendance Roll 2 has a slightly different layout.  It includes an editable heading, room for Week Names as well as Week Commencing dates, and also Lesson Day and Time (if fixed).

Attendance Roll 3

Attendance Roll 3 is similar to Attendance Roll 2, but also includes a Lesson Number heading at the top and room for teachers to date and sign at the bottom.

Attendance Roll 4

Attendance Roll 4 is the same as Attendance Roll 2, but squishier!  One line per record.  Doesn't show phone number, lesson day or time.

Attendance Roll 5         

Attendance Roll 5 is specifically designed for Conservatoriums.  It lists:

  • Student Name
  • Lesson Type
  • Program
  • Parent Names
  • Contact Mobile
  • Special Needs Notes

Also, students that have NOT been given 'photo permission' will appear shaded yellow on this roll. You can use for the column headings as 'Week Commencing' dates OR Days of the Week if you are required to print weekly rolls. At this stage, it doesn't give the option to print with blank lines, and you can only enter a maximum of 8 weeks/days.

Attendance Roll 6         

Attendance Roll 6 is similar to Attendance Roll 3 except it displays School instead of Form, and it sorts by Lesson Day and Time, rather than student name.  It also doesn't display the Student ID number. This roll is probably more suitable for conservatoriums. If the 'Ensemble Link' preference is selected on your File Preferences (Home screen > Scripts > Set file preferences), all ACTIVE ensembles (as tagged in the Ensemble Codes file) will also be displayed on this roll (in amongst the students, sorted by day and time).

If the 'Ensemble Link' is selected, at this stage, this roll doesn't give the option to print with blank lines.  (It does if 'Ensemble Link' ISN'T selected.)

Attendance Roll 7         

Attendance Roll 7 is another nice, NEW roll specifically designed for Conservatoriums (some conservatoriums call this roll an 'Acquittal')!  It lists Lesson Day, Time and Venue, Student Name, Subject and Lesson Type, Program, and Parent Contact Details.  There are 10 columns for Week Name and Week Commencing dates (or you can enter different headings if you like). At this stage, this roll doesn't give the option to print with blank lines.

Attendance Roll 7A      

Attendance Roll 7A is the same as Attendance Roll 7 except it doesn't display the parent contact details (and therefore more students can be displayed on each page).  It also has an extra column for the weeks (11 rather than 10). At this stage, this roll doesn't give the option to print with blank lines.

Attendance Roll 8 (Acquittal)  

Attendance Roll 8 is Attendance Roll 7 - version 2!  (Some Conservatoriums call this roll, an 'Acquittal').  It shows the same fields (Lesson Day, Time and Venue, Student Name, Subject and Lesson Type, Program, and Parent Contact Details) but displays only one week at a time.  It also has a signature box for the student to sign that they attended the lesson. At this stage, this roll doesn't give the option to print with blank lines. If the 'Ensemble Link' preference is selected on your File Preferences (Home screen > Scripts > Set file preferences), all ACTIVE ensembles (as tagged in the Ensemble Codes file) will also be displayed on this roll (in amongst the students, sorted by day and time). These rolls can also be EMAILED to the teachers (either one at a time, or as a whole group).  After you have set up the roll headings by running through the process, don't print them.  Instead, go to the Contacts file, find a teacher (or ALL current teachers), click the arrow at the far left of the record to go to Form View, then click the Students tab.  At the bottom of this tab is a green "Email Acquittal" button.  If you click this button, an email will be created for that one teacher, and their Acquittal attached.  If you would like to email all teachers at once, FIND the group of records, then select 'Scripts' from the menu at the top of the screen, then 'Email Acquittal (Attendance Roll 8) to FOUND SET'.  Music Monitor will work through the found set of records, creating an email for each one, and attaching the appropriate Acquittal.

Attendance Roll 8A (Acquittal 2)           

Attendance Roll 8A displays:

  • Lesson or Ensemble Day
  • Time and Venue (but note this information comes from the SCHEDULE, not the CALENDAR, so may not be accurate if lessons are scheduled on a rotating basis)
  • Student Name
  • Subject
  • Lesson Type
  • Primary Contact name, mobile phone number and email

This roll can be printed fortnightly as it displays TWO student signature boxes, one for each week. It also has verification text at the bottom of the roll and room for the teacher to sign and date.  Example of verification text:This is a legal record of student attendance required under our funding agreement with the Dept. of Education - Tutors must ensure their accuracy by monitoring their students. Tutors are asked to sign off on each week to show this is a true and correct record. These rolls can also be EMAILED to the teachers (either one at a time, or as a whole group).  To email the rolls to the teachers:

  1. Click Attendance Roll 8A (Acquittal 2) in What Do You Want To Do? and work through the process of setting up the headings.
  2. When you get to the Preview screen, check the rolls but don't print them. Click 'Continue' at the top right to return to What Do You Want To Do?
  3. Go to the Contacts file.
  4. Find a teacher (or ALL current teachers).
  5. Click the arrow at the far left of the record to go to Form View, then click the Students tab. At the bottom of this tab is a green "Email Acquittal 2" button.  If you click this button, an email will be created for that one teacher, and their Acquittal attached. 

If you would like to email all teachers at once:

  1. FIND the group of records in the Contacts file (eg. all 'Current' staff)
  2. Select 'Scripts' from the menu at the top of the screen, then 'Email Acquittal 2 to FOUND SET'.
  3. Music Monitor will work through the found set of records, creating an email for each one, and attaching the appropriate Acquittal.
Attendance Roll 8B       

This roll is the similar to Attendance Roll 8A except it prints each DAY for each teacher on a separate page and DOESN'T display parent contact details.  As for Attendance Roll 8A, it includes Tuition enrolments and Ensembles.

Attendance Roll 9         

Attendance Roll 9 is a slightly modified version of Attendance Roll 2.  It includes an editable heading and week names and dates, but the columns are slightly wider.  It doesn't include contact phone number, or lesson day or time.  Instead, it includes lesson length and number of lessons to be given.  It also includes the school name (for conservatoriums that have students enrolled from a number of local schools) and Year Level.  If students have been tagged 'No' for photo permission, they will be highlighted yellow on this roll.

Attendance Roll 10       

Attendance Roll 10 has an editable heading, week names and week commencing dates.  Student details displayed include

  • Name
  • Form
  • Lesson Type
  • Contact Phone Numbers (home phone and mobile 1)
  • Student Email

There is a box for the student to initial each lesson to indicate their attendance, and for the teacher to sign and date at the bottom of each week.
