Each year, the Music Monitor Team provides spreadsheets which can be used to update Music Monitor with the year's exam offerings from AMEB and other exam providers. There are always two spreadsheets - one with Exam Codes and the other with Exam Sessions. They should be saved to a location which is easy to find (such as the desktop or downloads folder).
To access Exam Codes, go to Setup Files > Exam Codes. Then, to access Exam Sessions, select Exam Sessions. To return to Exam Codes, select Exam Codes.
To update Music Monitor with this new exam data, follow the steps below to first delete the previous year's Exam Codes and Exam Sessions, then import the new year's Exam Codes and Exam Sessions from the spreadsheets.
Preserve custom Exam Codes & Exam Sessions
If any custom Exam Codes or Exam Sessions have been entered into Music Monitor (such as codes for internal school exams), these will need to be saved, or else will be lost in the process of updating Music Monitor with new exam data.
In Exam Codes, run a find for the custom Exam Codes. With only the custom Exam Codes in the found set, select Save as Excel.
Choose a save location and name which is easy to find (such as the desktop).
Then, go to Exam Sessions and repeat the process above to save any custom Exam Sessions.
Delete all Exam Codes & Exam Sessions
In Exam Codes, select Show All then select Records > Delete All Records to delete all the Exam Codes. Check there are no records remaining.
In Exam Sessions select Show All then select Records > Delete All Records to delete all the Exam Sessions. Check there are no records remaining.
Import new Exam Codes & Exam Sessions
In Exam Codes, select File > Import Records > File. Then select the new Exam Codes spreadsheet.
In the Field Matching Settings, match the image below by making sure that:
- The import type is set to 'Add'.
- Row one is set to 'Use as Field Names'.
- The target fields are set to 'Matching Names'.
- Perform auto-enter options is checked.
Select Import. Music Monitor will then import all records from the spreadsheet.
Next, go to Exam Sessions and repeat the process to import the new Exam Sessions.
Import custom Exam Codes & Exam Sessions
If you previously saved custom Exam Codes and/or Exam Sessions, repeat the import process using the saved spreadsheets to re-import the custom Exam Codes and/or Exam Sessions into Music Monitor. This includes using the same settings in the Field Matching Settings.
