We have built a number of special features over the years for schools where ensemble attendance is the subject of particular requirements or rewards. This article describes the general data that is collected and the specific features that exist to make use of it. 

What Data Is In There

Attendance Count

The Attendance Codes for Ensemble attendance only have a field to count the student's attendance (not billing or staff pay). 

But as you can see, it is possible to set up a code with fractional attendance. 

Percentage Attendance 

This count is displayed on the rolls, along with the student's percentage attendance. 

The percentage is calculated as the total attendance count over the number of rehearsals for which attendance data is recorded. 

  • If the roll record is unmarked, the session will not be counted in the percentage calculation. 

Points Earned 

Music Monitor can perform a calculation to award a point to students whose attendance meets a specified threshold. 

Use the button found in the Settings wheel. 

The default calculation is to award a point for students whose attendance is at least 80%. You can vary the calculation (contact us for support if needed). 

Note: If students have absences that should not detract from their record for this points calculation, you can adjust their record by granting them Allowable Absences

This allows your attendance records to correctly show the presence or absence of the student, while your points calculation accounts for their circumstances. 

Get the Data Out 

If the data is in Music Monitor, you can get it out. 

Ensemble Attendance Summary

This report is available from the Print icon in the Ensemble Rolls screen. 

For whatever set of roll records you're looking at when you run this script, Music Monitor will produce a summary grouped first by Student, and then by Ensemble name. 

From here you have options at the top to export to Excel or PDF or to print. 

Note: From version 9.259 onward, this report is also available from Common Tasks > Roll-Marking ENSEMBLES. If you run it from there, you will go via a search screen to determine which roll records to display. 

Roll Records as PDF

You can see that in this menu you also have the options to print the roll - with or without notes. That will send the roll records you currently have on your screen to your computer's Print menu. In that menu, you can use your computer's inbuilt functions to print as PDF instead of to a printer.
