At the end of the year, after pays and adjustments have been completed in full, it is recommended that you archive the attendance records for that year. Archiving attendance records improves Music Monitor performance in the Attendance File and related layouts. Archived attendance records are stored in a separate file, so performance considerations must be balanced against the need for easy access for reporting purposes.
To archive attendance records, go to Common Tasks > Archive Attendance records.
V9.235 and later
You will be prompted to enter a start date and finish date for the Week Commencing to determine the records to archive. As a general rule, schools can archive records for the full calendar year; conservatoriums should archive records in 6-month blocks, from Jan-June, and then July-Dec (after completing reports for Department of Education).
Click OK and then follow the prompts to send the found set of attendance records over to the Attendance Archives file.
Versions earlier than 9.235
The script in Common Tasks will archive ALL attendance records.
If you would like to archive some, but not all, attendance records, you will need to use the alternative method.
First, open the Attendance File, then run a find for the records you would like to archive. When your list includes only the records you want to archive, go to Scripts > Archive FOUND SET of Attendance records.
In this way any sub-set of attendance records can be archived.
To view archived attendance records, select Go to Attendance Archives from the Scripts menu in the Attendance File.
