Why Do Numbers Appear in Orange? 

On the attendance rolls, numbers on the right-hand edge of each row show the number of lessons each student is expected to have in each Reconciliation Period, and how many they've had so far. The numbers display in orange when they reach two lessons less than their quota. So this number appearing in orange means they've nearly finished their allotted lessons. 

The Reconciliation Period is the time when your school calculates credits owed to students for lessons not given. Schools often reconcile each year or each semester, and conservatoriums often reconcile every term or semester. Admins adjust the expected number of lessons to match what the student is billed. 

The tally of lessons given counts all billable lessons according to the settings in your Attendance Codes. Some codes are set up to bill the student for absences (e.g. no notice) and others are not, and the tally sums billable lessons, whether attended or not. 

Why are Salaried teachers appearing in my payroll? 

There are two main causes here: 

Changed Employment Type 

If a teacher changes from "Salaried" to "Sessional", you need to update the details in the Enrolment records allocated to them, and also in any Attendance records that have already been created for these enrolments.

Pre-Approved Payments

Currently, all Pre-Approved Payments are recognised by Music Monitor as "Sessional", and so are captured in the payroll process. If the option to change this is important to you, go to Feature Requests from your Home screen and request it. 

Why are the times on the Attendance Records and the Rolls sometimes different? 

The rolls essentially display the Attendance records, but they also check the related Calendar Entries for any changed day or time information. 

When you generate the rolls, each entry from the teacher's Schedule is used to create an Attendance record, with the day and time information taken from the related Calendar Entries in the relevant week. 

If the lesson is later rescheduled, the information recorded in the Attendance record does not change. 

But the Rolls view refers back to the Calendar Entries and will display the updated day and time. 

Once the roll is marked, the Attendance Record will be updated with the day and time information as it shows at that time. 

How Can I Change the Dates on an Ensemble Roll?

When you generate ensemble rolls, there is a step where you choose dates for the column headers. If you need to change them later for any reason, these are the steps.

  • From the ensemble roll, select the Settings wheel > Edit Dates

  • That brings you to the same screen where you originally set up the dates for the roll. You can change the date of the first week and auto-fill the rest of the term.
  • NOTE: If you have more than one roll open when you run this script, it will change the dates for all the rolls you are viewing.

Why Can't I Log Out of Music Monitor?

To log out, select the Exit System button on the Home Screen.

Difficulties sometimes encountered include:

  • If you're an admin staff member using a mobile device, the button is sometimes off the edge of the screen in Admin View. If you can change to Teacher View, you should be able to see the button. Or if you turn the device to landscape orientation, it will generally fit the button on the screen.
  • If you're using a shared device, the device may have saved a user's password, so even when you log out, it will just log that user back in when you open FileMaker. You need to change this in the device's settings area.
