Schools that import student details from their school database can optionally manually add external students as well. Students added as external will not be deleted by the regular student import script.
This can be used to address several scenarios:
- Tracking activities for a music student who is not a student of the school (such as a sibling of a school student who also gets lessons at the school).
- Tracking enrolments for a future student who is not yet added into the school database, or who does not yet fit all criteria to be imported (such as a preschooler, prep or k student).
- Tracking activities for a teacher.
To add a new external student select New Record (the green plus icon) in the Students file. Then fill out the students details and select 'Yes' on the External Student radio buttons.
Future Students
If adding a future student in this way, make sure to manually set their Student ID in Music Monitor to match their Student ID in your school database.
When the student transitions to a current student, change the External Student radio button to ’No’. From that point on their details will be imported as normal and any activities will remain attached to the record (provided the Student ID has remained the same).
